Managing Reassignments
Plan review tasks, also known as assignments within e-PlanReview® (EPR), are created per group. While any group member can review and set the status for an assignment, agency staff can designate a specific group member as the “Assignee” who is expected to perform the review. This designated user remains assigned to the plan review task whenever new document versions are submitted by the applicant unless the task is reassigned as described below.
Assignment Overview
After an assignment is created, all users with access to the project and markup rights can add markups to the assignment but only someone who belongs to the assignment Group can update the assignment’s status. Assignments can be created without a designated Assignee, in which case staff are expected to have alternative means for communicating which users have to perform plan review. However, by designating an Assignee, staff can directly indicate which users are expected to perform the review. Refer to Performing Intake for more details.
Selecting an Assignee allows for easier tracking of plan review tasks.
Reassignment Overview
Reassignment is the process of changing a plan review task’s assignee from one user to another by editing the assignment record.
Reassigning a plan review task…
Indicates that responsibility for the review is changing from the previous assignee to the new assignee.
Sends the new assignee an email notification stating that they have a new task, but only if the new assignee is subscribed to the notification event “Reassigned” (found in the user profile Notifications tab under the Project > Document Assignment section).
Transfers ownership of any pre-existing markups (comments, sketches, stamps or measurements) created by the previous assignee to the new assignee.
Transferring markup ownership ensures that the new assignee can update and/or remove pre-existing markups as needed during their review, regardless of current permissions configurations. For example, when EPR is configured to prevent reviewers from modifying markups except for their own, this transfer will allow them to edit the existing comments.
Reassigning a plan review task does not…
Prevent the previous assignee from accessing the plan review task.
Prevent other group members from accessing the plan review task.
Prevent other group members from updating the status of the plan review task.
Send the previous assignee an email notification stating that this task has been removed from their queue.
Transfers ownership of any pre-existing markups (comments, sketches, stamps or measurements) created by staff other than the previous assignee.
Depending on the agency’s current permissions configurations, the new assignee may be able to edit markups created by other staff, but unlike with markups created by the previous assignee, this is not automatically guaranteed.
When to Reassign a Plan Review Task
There are several scenarios where a plan review task may need to be reassigned from one user to another, such as:
When the current assignee is on vacation or on leave.
When the current assignee is no longer part of the project.
When the current assignee moves to another group or department.
When the current assignee is no longer employed by the agency.
When a resubmittal must be reviewed by another group member.
How to Reassign a Plan Review Task
There are several ways to reassign a plan review task from one user to another, depending on the scenario.
From the Project-level Assignments Tab
Individual Reassignment
To update a single plan review task assignment:
Open the project record where one or more assignments need to be updated.
Click on the project’s ASSIGNMENTS tab.
Search and/or filter for the assignment within the assignments table.
Click (Edit) next to the assignment.
In the “EDIT ASSIGNMENT” form that pops-up:
Group cannot be changed.
Review Type can be left as-is, or updated if desired. To update, click on the drop-down to either select or change a review type for this task.
Click on User to view a drop-down list of everyone who belongs to the assignment group.
Select someone to become the new assignee.
Edit Assignment FormUpdate the Due Date, if desired.
Click SUBMIT to complete the update or CANCEL to close the form without making any changes.
If the new assignee is subscribed to the notification event “Reassigned” in their profile, they will receive an email stating that they have a new plan review task.
Batch Reassignment
To update multiple plan review task assignments at once:
Open the project record where one or more assignments need to be updated.
Click on the project’s ASSIGNMENTS tab.
Search and/or filter for the assignments to update within the assignments table.
Click on the checkbox to the left of each assignment.
Only assignments belonging to the same group should be selected together.
After clicking on at least one checkbox, two new buttons will appear on the right (above the filters).
Click on EDIT ASSIGNMENTS.
In the “EDIT ASSIGNMENTS” form that pops-up:
Click on User to show a drop-down list of all users who belong to the same group.
Select another user to become the new Assignee.
Review Type can be left as-is, or updated if desired. To update, click on the drop-down to either select or change a review type for this task.
Update the Due Date, if desired.
Click CONFIRM to complete the update or CANCEL to close the form without making any changes.
From the Global Assignments Page
To update multiple plan review tasks across more than one project application:
Click on ASSIGNMENTS in the navigation menu.
Search and/or filter for the assignments to update within the assignments table.
Click on the checkbox to the left of each assignment that needs to be updated.
Only assignments belonging to the same group should be selected together.
After clicking on at least one checkbox, the EDIT ASSIGNMENTS button will appear on the right (above the filters).
Click on EDIT ASSIGNMENTS.
In the “EDIT ASSIGNMENTS” form that pops-up:
Click on User to show a drop-down list of all users who belong to the same group.
Select another user to become the new Assignee.
Click CONFIRM to complete the update or CANCEL to close the form without making any changes.
From the global assignments page, only the user can be updated.
